§ 2-102. Records management program.

  • (a)

    There shall be a records management program within the City of Scottsdale as required by Arizona Revised Statutes (A.R.S.) § 41-1346. The records management program shall provide for efficient, economical, and effective control over the creation, distribution, maintenance, use, and disposition of all City of Scottsdale records in compliance with state law. The records management program shall be applicable to all departments, officials, employees, and representatives of the City of Scottsdale.

    (b)

    The city clerk, or designee, will oversee the program and act as the city's liaison to the Arizona State Department of Library, Archives, and Public Records to ensure that accurate records retention and disposition schedules are maintained and adhered to, and that all reporting requirements are met.

    (c)

    The city clerk, or designee, shall develop policies and procedures to provide efficient, cost-effective management and control of all forms of records (hard copy and electronic media) and to ensure compliance with federal, state, and municipal regulations. These policies will be incorporated into the city's records management manual and submitted to the city manager for final approval prior to implementation.
